OFFBOARDING

User offboarding.
With a clear owner.

Bring departure details, access decisions, mailbox and file handover, and equipment return into one process. Give MSPs and internal IT a clear owner for the work that follows a leaving date. Join early access as Onboardinator develops.

REVIEW. ASSIGN. FOLLOW THROUGH.

Review the plan.
Make ownership clear.

Start with the person leaving, the agreed departure time, and the authorized approver. Decide who owns each account, data, and equipment task before the handoff.

  • Review and approval within the departure workflow
  • A technician responsible for the follow-up
  • Request context and remaining tasks kept together
Review the plan. Assign the work.
Keep the follow-up visible.
01 /

Define the account changes.

Agree the Microsoft 365 account work with the authorized approver. Keep the departure details, access decisions, and person responsible together so the technician can work from a clear plan.

02 /

Track the access and equipment work.

Plan mailbox and file handover, access changes in other business applications, and equipment collection. Assign each task explicitly; no single account change confirms that all departure work is complete.

03 /

One request. An assigned technician.

Give a technician responsibility for following the departure plan through. Keep requirements, handoffs, and outstanding tasks together so another team member can pick up the context without starting over.

Offboarding
questions.

What should a departure request include?

Include the person leaving, the agreed leaving date and time, the approver, and any account, data, or equipment instructions. Make time-sensitive work explicit so the responsible technician can coordinate it.

How should mailbox and file handover be handled?

Agree who needs access to the departing person’s work and who can authorize the handover. Include mailbox and file ownership decisions in the departure plan, with a named person responsible for carrying them out.

What belongs on the final checklist?

Include verification of account changes, access checks in other applications, mailbox and file handover, and equipment return. Record outstanding work and its owner before closing the request.
